We're looking for an Event Marketing Specialist to execute our global event strategy. You'll scout the next big tech conferences, make sure the Apify team has everything they need on the ground in San Francisco, London, or beyond, and ensure we show up world-class every time. You won't just book flights - you'll solve business challenges, master our internal event database, and play a crucial role in our flagship "Prague Crawl" event. You're the operational backbone that lets our brand travel the world.
What you’ll be working on:
Scout new global conferences and local meetups that align with our product goals. You'll handle initial calls to negotiate pricing and figure out if sponsorships are worth it, then keep our event database current.
Deliver a stress-free travel experience for the Apify team. You’ll manage accommodation bookings, handle TravelPerk profiles, and make sure every Apifier is fully briefed and ready before they board the plane.
Manage production of marketing materials. You’ll track merchandise stock levels, pack swag bags, and coordinate with local vendors for print runs so nothing’s left behind.
Support flagship events, providing hands-on assistance for the planning and execution of "Prague Crawl" and other community-building activities.
Drive marketing ROI by managing coupons and lead-tracking. You’ll help us move beyond "vanity metrics" to understand which events actually drive business and community growth.
Assist with content and lead nurture, helping to capture content at events and drafting the follow-up emails and nurture campaigns that turn handshakes into customers.
Who we're looking for:
You have 2+ years of experience in event coordination, marketing operations, or project management, ideally within the tech or SaaS sector.
You don't wait for a task list. You see a gap in the logistics process (e.g. a missing tracking number or an unbooked hotel), and you fix it.
You’re tech-savvy and comfortable working with developers and the latest AI tools. You understand that modern event management is built on data and collaboration software, not just clipboards.
You’re based in Prague, with the ability to be in the office at least 3-4 days a week to handle physical materials, swag shipments, and local event prep.
You have excellent written and verbal communication skills in English and are comfortable negotiating with international vendors and event organizers from San Francisco to Singapore.
What we expect from you in the first 6 months:
You’ll join as an individual contributor on the Marketing team. Your first goal is to master the operational workflow, so no flight is missed, and no swag box is lost. You’ll build relationships with Apify team members who travel the most. You’ll quickly become the "go-to" person for all event logistics.
By the end of the first month, we expect you to:
Complete the general onboarding plan and meet all event-relevant stakeholders in 1on1s.
Lead your first introductory calls with conference organizers, confidently assessing whether an event is a good fit for Apify.
Master our swag and inventory management, verifying that when the team arrives at a booth in SF or at a European event, they have exactly what they need, delivered on time and within budget.
Take ownership of the travel workflow, successfully managing the booking and briefing process for upcoming trips.
By the end of the first 3 months, we expect you to:
Create a database of trusted local partners (printers, caterers, booth builders) in our most important hub cities like San Francisco and London.
Propose new events instead of just fulfilling requests. You’ll identify 2-3 new, high-potential niche communities or meetups that Apify hasn't tapped into yet.
Be the expert on the event database, ensuring that 100% of event cards are complete, up-to-date, and actionable for the wider marketing team.
Host onboarding/briefing sessions for Apifiers traveling to conferences to fully prepare them for their trip.
By the end of the first 6 months, we expect you to:
Start analyzing data beyond just logistics. You’ll use HubSpot to track lead quality and coupon usage to report on which events are actually moving the needle.
Play a key role in the production of Prague Crawl, owning specific areas like partner coordination, on-site logistics, or attendee experience.
Take full ownership of the travel and booking system, identifying ways to optimize costs and improve the traveler experience.
